Work with others in one OrgPage

Everything is fine as long as everyone agrees on their tasks so there is no overlap in cell editing ✅.

‼ Changes you make while other people are editing the same cell won't be saved when you leave the editor. ‼

Help! After I left the editor, the changes disappeared.

Solution steps

  1. Check for multiple tabs: Make sure that you don't have the OrgPage open in other tabs. Accidental changes in another tab can lead to this issue.
  2. Collaborative editing: If someone else is editing the same cell, it might cause changes to disappear. Coordinate with others to avoid this. This case is similar to working with multiple tabs.
  3. Possible disconnection: Sometimes, changes can disappear if you got disconnected before they were saved. We plan to work on an offline mode to prevent this in the future.

Share

You can open the Share dialog either from the OrgPage or from your list of OrgPages.

Look for the imageShare button.

Where can I find the OrgPages of my teams?

To view your teams:

  1. Click the image logo, or select image Home in the imageside panel.
  2. Select the image filter button. You will now see all your teams.

When you select a team, you will see only the OrgPages shared with that team.

How can I add existing or new OrgPages to a team?

To share your existing or new OrgPages with a team, follow these steps:

  1. Navigate to imageShare and select the People tab.
  2. In the text field, enter the name of the team you wish to add the OrgPage to.

  3. Press Enter to confirm.

List of your teams includes three basic sections:

  1. team information
  2. actions you can do with the team
  3. the ➕ Create a team button

Teams

Available in Standard and Pro plans. Also available for schools, enterprises and institutions.

Teams are an easier way to share OrgPages with a group of people. They are like private folders that only those you invite can access.

Tip! If you create a team just for yourself, it acts like a personal private folder.

To show the list of your teams:

  1. Go to Profile picture.
  2. Select Teams.

The permissions you can set are Read, Edit, and Comment. Plus Share and delete in the People tab.

You can give people different permissions for an OrgPage:

People don't need an OrgPad account to image Read  and image Edit.

image Comment permission is different, as each comment is associated with a profile picture to identify the contributor. It is similar to image Edit, but you can only edit what you have created.

You can only asign image Share and delete in the People tab. A person with this permission can add other people to the list and delete the OrgPage.

Comments

Comments are special cells that are linked to the person who created the comment.

Each one has a small image to show who added it, just like this this cell. If you hover over this image, it will show the creator's name. Try it!

Only the person who made the comment, people with edit permission, and the owner of the OrgPage can make changes to it.

What can I use comments for?

Tip! You can also comment in the edit mode.

To create a comment:

  1. Select the image style button above a cell.
  2. Select image.

Or, use these shortcuts when you edit a cell or have a selection:

To delete a comment, simply follow the same steps again.

3. ➕ Create a team

  1. Go to Profile picture > Teams > ➕ Create a team.
  2. Add details about your team.
    • Type the team title.
    • Add a profile picture (optional).
  3. Add members (optional).

The team title should be at least five characters long.

Change team title and logo.

  1. Click on Change team title and logo.
  2. The Edit team dialog appears. The Save changes button remains inactive until you make edits.

Click Cancel or anywhere on the gray background to discard any unsaved changes.image

2. Actions you can do with the team

{Team}'s members.

Only people with an account in OrgPad can become members of a team.

Similar to adding people in the People tab within image Share dialog, suggestions appear as you type. If you want to share with someone not on the list, simply enter their email address.

Tip! To add multiple emails at once, separate them with a comma, semicolon or space.

You have the option toggle whether the member is an image admin or not. Admin can add members and delete the team.

To remove a member, select image Remove from team.

Who shows in suggestions?

In the suggestions, you see:

People

The People tab allows you to share OrgPage with individuals and teams by using their email addresses.

As you type, suggestions will pop up. To share with someone who is not on the list, simply enter their email address.

You can also select permissions for each person.

When you add people by email, it doesn't matter if they have an OrgPad account or not.

If you want to share content with someone who is not on the list, just enter their email address.

To change permissions, click anywhere on a person in the list.

Delete team

  1.  Select image Delete team.
  2. You must confirm your selection by choosing Delete so you don't accidentally delete your team.

How do I remove an OrgPage that someone shared with me from my list of OrgPages?

Go to image Share and selectimage Remove yourself.

If you have image Share and delete permission, follow the same steps as you would to remove any other person.

Links

The Links tab lets you copy a link to the OrgPage. This is a great way to share your document with people who don't have an OrgPad account.

If you have a presentation, you can set it to open in the presentation mode when someone clicks on the link.

There are two ways you can share the link:

  1. Copy a shareable link.
  2. Use a QR code.

  1. Go to Links.
  2. Select … invalidate all previous links.

How do I share a QR code?

QR code

QR codes are square patterns of black and white dots arranged in a grid. They have the remarkable ability to store various types of data, including website links, text, images, and contact information.

Scan a QR code

On iPhone

  1. Open your Camera app.
  2. Point your camera at the QR code and a clickable link should appear. 

On Android

  1. Open the Camera app
  2. Go to More or go to Settings and enable Google Lens Suggestions.

  3. Point your camera at the QR code to scan its contents.

If you have a Google or Samsung phone, you can skip these steps and just use your Camera app like with iPhone.

Share a presentation

On Links or Embed tab in the image Share dialog

  1. Switch Start with a presentation on.
  2. Choose a presentation from a list (only when there is more than one).
  3. Choose the step you want it to start.

Tip! Switching between the Links and Embed tabs keeps your settings.

Select imageShare. It opens the dialog in the Links tab with the selected presentation and step.

Template

A template is a like a magic link. Click on it and it makes a copy. To tell whose copy it is, we add their name in parentheses to the OrgPage's name.

You're in control: choose if you want copies and set your own permissions for them.

Sharing a template is as easy as sharing a regular link: copy a shareable link or use a QR code.

Templates are grouped together in a list of OrgPages.

In the bottom right corner, a counter displays how many times a template has been used. Clicking on the counter reveals a list of OrgPages where the template and all its copies appear. You can interact with the OrgPages list just like with any other list.

Tip! Copies of the template do not appear in the default list of OrgPages but are still accessible from the search.

Create an OrgPage from a template with just one keyword.

This makes templates easier to use, especially when you use them often or work alone.

To do this, create a browser shortcut using a one of these tricks:

Then type the keyword in the address bar whenever you want to use a template.

Embed

The Embed tab gives you the code to put OrgPad into a website or another app, such as Microsoft Teams.

As with Links, you can control permissions and choose whether it should start with a presentation.

There are two options to choose from:

  1. Embed into Microsoft Teams: This basically copies a regular link.
  2. Embed into website or application: This copies the <iframe> code.

You can fully use OrgPad within Microsoft Teams.

In Microsoft Teams, follow these steps:

  1. Choose your team.
  2. Select ➕ Add a tab > 🌐 Website. It opens a dialog where you need to fill:
    1. tab name,
    2. URL, which you will find in OrgPad.
  3. In OrgPad, go to imageShare > Embed.
  4. Select SCR-20230927-tnez. It copies a link to your clipboard.
  5. Return to Microsoft Teams and paste the copied link into the URL field.
  6. Finally, click Save, and you're all set!

How can I add content from other apps or websites to OrgPad?

Publish

The Publish tab allows you to share an OrgPage with everyone and add it to the list of public OrgPages.

If you want to share your OrgPage image for editing, it is a good idea to make a backup copy first.

Alternatively, you can share it image for commenting. This means that people can add and edit content, but not change what others have added.

Published OrgPages and where to find them

Published OrgPages are OrgPages that others have chosen to share with everyone. Don't worry, all OrgPages are private when you create them.

You can discover them in one of the following ways:

When you search your OrgPages, they will always appear first. The public OrgPages then follow, and their order depends on how closely they match your search.

Profile

On a person's profile, you can view:

  1. search their OrgPages, similar to your list of OrgPages,
  2. send them a message.

Tip! Click the profile image in the search box to go back to your list of the OrgPages.

You can visit person's profiles from the list in the People tab.

This comes in handy if you want to contact them or just see what other OrgPages they shared with you.

Owner? Click anywhere on them.

Others? Click anywhere on them and choose image Show profile.
